Match the accepted car and specification

Keep the final vehicle reference, original version information and agreed equipment together. If sourcing involved a replacement, ensure the file describes the candidate actually accepted. Earlier illustrative images should not remain the only photographs of a substituted unit.

The version record helps distinguish production information from registration. Resolve inconsistent identification details before they pass further through the process. A common model name is not enough to connect a particular set of documents with one car.

Retain inspection and preparation history

Preserve original findings, disclosures and evidence of agreed preparation. Add dated handover photographs tied to the vehicle. Where further work was accepted, include its completion record rather than removing the original concern from the file.

If the car has moved or been stored since inspection, date new observations separately. The battery review and chassis review describe evidence within a defined scope. A dispatch check should not be presented as a comprehensive new technical examination unless that work was commissioned.

CHECK 3

Count the supplied items

List keys, charging equipment and separately agreed accessories by quantity and model where relevant. Associate separately packed items with the appropriate vehicle or order reference. The receiving team should not have to infer missing contents from a brochure picture.

Record supported account or access-transfer arrangements without disclosing another owner’s credentials. Keep personal information out of general logistics images and distribute transaction records only to the parties who need them for the relevant stage.

Arrange the destination review

Have the relevant destination-side adviser identify document requirements for the particular transaction and classification. Assign responsibility for each item and establish review timing. A universal document checklist cannot guarantee import or registration acceptance.

At receipt, compare vehicle identity, condition and contents against dispatch records. Retain dated photographs of discrepancies and follow agreed reporting channels. An organised file makes investigation more practical without pretending to eliminate transport, technical or administrative uncertainty.

A practical batch handover

Several similar L9 vehicles share an order, while keys and charging accessories are packed separately. Maintain an index that connects each car to its accepted specification and supplied items. Record package counts and check them on receipt. If one package differs, the parties can investigate the specific discrepancy rather than assuming every unit received an identical set. This protects the clarity of the customer description when the vehicles look alike but their configurations or agreed contents differ.
